HISTORY
The General Document - Correspondence Unit, which started operating with the establishment of our hospital, was established to monitor the incoming and outgoing document flow of the Hospital, to ensure communication between public institutions and organizations among themselves or with real and legal persons, to write and send correspondence, and to ensure the protection and preservation of official documents and information. All official correspondence carried out within our hospital is conducted in accordance with the regulation published in the Official Gazette in 2004 with Decision Number 8125.
DUTIES, AUTHORITIES AND RESPONSIBILITIES:
The acceptance of documents coming to our hospital is carried out as internal and external. If the document is created and sent internally through EDMS (Electronic Document Management System), the document flow is monitored through the system, and preliminary forwarding to the Hospital General Directorate and Hospital Chief Physician's Office is carried out by the unit document officer. External documents; if they come by mail, all documents without confidential and private stamps are opened, classified and scanned. Files are recorded by using the external document button from EDMS and following the order in the system.
Confidential envelopes, Ministry correspondence, letters that the Hospital General Director should be aware of, petitions, investigation documents and reports related to inspection and audit are separated by the responsible person in our Unit. They are created using the Confidentiality and Urgency buttons from EDMS and submitted to the Authority through the system as "PRESENTATION". The correspondence distributed by the Chief Physician's Office is archived through the system, and the originals of the documents whose custody outputs are controlled by the unit are distributed to the relevant units.
Documents that should remain in the unit (EDMS confirmations) are carefully preserved and archived according to the Standard File Plan. The Correspondence Unit takes into account the "Official Correspondence Rules" while ensuring official communication between units.
